Who we are

The Estate Dairy ("we", "us") is the data controller for the information you provide when applying for a role. If you have any questions about this notice or how your data is handled, contact us at creative@theestatedairy.com.

What we collect

• Contact details: your name, email address, phone number, and location.
• Application details: your CV, portfolio link, work history, and your answers to the application questions.
• Practical details: right to work in the UK, willingness to travel, and notice period.

Please don't include special category data (such as health information, religion, or ethnicity) in your CV or answers unless you feel it's relevant. We don't ask for it and don't need it to assess your application.

Why we collect it and our lawful basis

We use your information solely to assess your suitability for the role you've applied for, to communicate with you about your application, and to meet our legal obligations (for example, checking the right to work in the UK). Our lawful bases under UK GDPR are: taking steps at your request prior to entering into a contract (Article 6(1)(b)), our legitimate interest in recruiting for our business (Article 6(1)(f)), and compliance with legal obligations (Article 6(1)(c)).

Who we share it with

Your application is seen only by the people involved in hiring for the role (for example, the Head of Creative and the founders). Applications are delivered to us by email via FormSubmit, a form delivery service that processes the data on our behalf, and our website is hosted by Cloudflare. We do not sell your data or share it with anyone else for marketing.

How long we keep it

• If your application is unsuccessful, we keep it for up to 6 months after the recruitment process closes, then delete it. We keep it for this period in case we need to respond to queries or to defend against legal claims.
• If you tick the optional box to join our talent pool, we keep your details for up to 12 months so we can contact you about future roles. You can withdraw this at any time by emailing us.
• If you're hired, your application becomes part of your employment record and is covered by our employee privacy notice.

Your rights

Under UK GDPR you have the right to:

• Access a copy of the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data.
• Object to or ask us to restrict our processing of your data.
• Withdraw consent where processing is based on consent (such as the talent pool).

To exercise any of these rights, email creative@theestatedairy.com. We'll respond within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Automated decision-making

We don't use automated decision-making or profiling in our recruitment. Every application is read by a person.
